Suppression File Management
The Suppression File Management component enables you to prevent postcards from being mailed to names and addresses already known to your business. This industry-standard practice eliminates redundant mailings, potentially improving overall campaign performance.
Initial Suppression File Upload
Accessing the Domain Details Modal
To manage suppression files and configure suppression levels, you need to access the Domain Details modal:
Navigate to the Domain Dashboard
- Log in to the platform and go to the Domain Dashboard.
Open the Domain Details Modal
- Click on the Settings Icon located in the upper right corner next to the domain dropdown.
Edit Domain Details
- In the Domain Details modal, you can upload suppression files, configure suppression levels, and view validation details.
Enable Suppression File
- Scroll to the bottom of the Edit Domain Details modal.
- Toggle the Suppression File option to "on."
Download Template
- Click Download Template to obtain the required fields and formatting for suppression files.
Prepare Your File
- Ensure your suppression file matches the required format and includes all necessary fields:
- The file must be a
.csvor PGP file. - The file name must be 100 characters or less.
- The file size must be 28MB or less.
- The file must be a
Upload File
- Click Upload File and select your properly formatted file from your computer.
- The system will begin validating the file.
Save and Validate
- After selecting the file, click Save to initiate the initial validation, which verifies the file type and fields.
- Return to the Edit Domain Details modal to check the validation status:
- If the file passes initial validation, it proceeds through a full validation cycle. You cannot upload another suppression file until this cycle is complete.
- If the file fails initial validation, an error message will indicate the reason.
Validation Cycle
- The duration of the validation cycle depends on the file size.
- Upon successful validation:
- The status will update in the Edit Domain Details modal.
- If the file fails full validation:
- A notification will indicate that the number of records containing errors surpassed acceptable thresholds.
Activation
- Once validated, the suppression records will be applied in the next mailing cycle.
- You can control active suppression by toggling the feature "on" or "off."
Configuring Suppression Levels
After uploading a suppression file, you can configure the suppression level to match your campaign needs. By default, the suppression level is set to Address Only, ensuring broad coverage and simplicity. However, you can adjust the level based on your targeting strategy:
Address Only (Default)
- Description: Suppresses records based on address fields (
Address1, Address2, City, State, Zip). - Reason to Use: Ideal for campaigns targeting a location regardless of household or individual details. For example, if you're mailing to all residents at an address, such as apartment complexes or shared residences, this level maximizes reach while avoiding unnecessary complexity.
Household
- Description: Suppresses records based on last name and address fields (
LastName, Address1, Address2, City, State, Zip). - Reason to Use: Best for campaigns where household-level targeting is essential. For example, if you want to avoid sending multiple mailers to the same family but still ensure each unique household receives one, this level provides a balance between personalization and efficiency.
Individual
- Description: Suppresses records based on first name, last name, and address fields (
FirstName, LastName, Address1, Address2, City, State, Zip). - Reason to Use: Perfect for highly personalized campaigns targeting specific individuals. For example, if your campaign involves personalized offers or customer-specific messaging, this level ensures no duplication across individuals while maintaining precision.
Viewing Suppressible Record Counts
Upon uploading a suppression file, the platform displays the number of records that match each suppression level in a waterfall order:
- Total Records: The total number of records in the uploaded file.
- Address Only Matches: Records matching Address Only-level criteria.
- Household Matches: Records matching Household-level criteria.
- Individual Matches: Records matching Individual-level criteria.
These counts help you understand the impact of each suppression level on your mailing list.
Replacing Suppression File
- Follow the same steps as the initial upload to replace an existing suppression file.
- The new file will undergo validation before becoming active.
Deleting Suppression File
Access Edit Domain Details
- Navigate to the Domain Dashboard.
- Click the Settings Icon to open the Edit Domain Details modal.
Delete File
- Click Delete next to the suppression file name.
- Confirm the deletion in the modal that appears.
- The suppression file toggle will automatically switch to "off."
Save Changes
- Click Save to apply the changes.
Additional Notes
- Suppression files must include all required headers (
FirstName, LastName, Address1, Address2, City, State, Zip), even if not all fields are populated. - Suppression levels can be adjusted dynamically without requiring a new file upload, provided the headers are present.
